Frequently Asked Questions – Whitby Campus

Residence Details

All suites are semi private. Whitby Village has 68 beds total, made up of 2 triple rooms and 31 double rooms.

Yes they are! Rooms are fully furnished.

Furniture includes, bed – double XL (double wide, queen long), desk, chair, desk lamp, and closet organizer with built in drawers built.

Three bedroom units will have a two piece bath and a three piece bath.

Three bedroom units will also have a chest freezer.

Application / Acceptance Process

You can apply for Residence by filling out the online application. Applications will be accepted on a first come, first served basis and you will receive your acceptance upon application within 24 hours on business days. A hall type lottery will take place during the first week of June and you will receive an e-mail indicating your hall type placement at that time. If you do not receive an acceptance email, you will receive a waitlist notification.

To apply, students will click on the ‘APPLY NOW’ button at the top of the screen and complete an application. The Whitby Residence will be listed as one of the Housing Preferences on the ‘Building and Room Types Preference’ page; students will rank Whitby Campus Residence as their number one choice.

Please note: When you apply for Residence new residents are required to pay a non refundable $100.00 application fee to submit your application. First year students need to submit their applications by deadline June 1, 2022 to be guaranteed a spot in residence.

Students who apply after deadline June 1, 2022 will be accepted into a hall type on a first come first serve basis.

If Whitby Village Residence is full, students will have the option of staying in residence on the Oshawa campus or remaining on a waitlist for Whitby Village Residence.

Applying for Winter or Summer Semester
You can apply for Residence by filling out the online application. Applications will be accepted at any time on a first-come, first-serve basis. Please note: When you apply for Residence you are required to pay a non refundable $100.00 application fee.

Residence fees must be paid directly to the Residence via one of the below listed options and cannot be paid to the Institution. Payments made to the Institution in error will be applied to any outstanding balances on your account with the Institution.

Please refer to Rates and the Termination & Cancellation Policy for full payment option deadlines and information. If you have submitted a Request for Special Consideration for a different hall type, please make your payment in accordance with the current hall type you have been accepted into.

You can make your residence fee payment using one of the below payment methods:

1) Bill Payee

We offer an online banking option for the following financial institution(s):

  • Bank of Montreal (BMO)
  • Central 1 Credit Union
  • CIBC
  • Desjardins
  • HSBC
  • Royal Bank of Canada (RBC)
  • Scotia Bank
  • Toronto Dominion (TD)

HOW TO MAKE A PAYMENT

To add the Residence as a bill payee search for “Durham Residence“ and select the payee titled “Durham UOIT Residence & Conference”. If you are unable to see “Durham UOIT Residence & Conference” please notify the Residence and we will assist you in selecting the proper payee.

Please do not use the payee listed as “Durham College – Tuition”.

To identify your payment you will be prompted to type in your Account Number, which is located on the home page of your My Housing Portal. You can also find this number in the top right hand corner of your invoice.

Please note: This payment may not be reflected on your Residence account for up to five business days.

2) Online Interac through the My Housing Portal

Online Interac is available for the following financial institutions and can be paid through the My Housing Portal:

  • Royal Bank of Canada (RBC)
  • Toronto Dominion (TD)

HOW TO MAKE A PAYMENT

Log onto the My Housing Portal and click on the ‘Accounts’ tab. Next, you will navigate through three steps. At the bottom of the third step you will have the ability to select indicate the amount you would like to pay. Finally, click on the ‘Pay Now’ button at the bottom of this page, where you will be directed to our online payment page.

Please note: Daily banking limits will apply. If you have Visa Debit or Debit MasterCard you will not be able to make an online Interac payment. We no longer accept credit card payments.

3) Money Order, Certified Cheque, or Bank Draft

Please make your Money Order, Certified Cheque or Bank Draft out to: “CLC DURHAM”. Send via courier to the address below:

*Please note money orders, certified cheques, or bank drafts will not be accepted in the  Whitby Village residence office and must be mailed or dropped off directly to the Oshawa Campus residence.

4) International Payment

Pay your residence fees through NorthStar in your native currency and it will be transferred to Residence in Canadian dollars.

International students can pay your residence fees in your native currency through NorthStar.

Please note: This payment may not be reflected on your Residence account for up to five business days.

5) Cash or Debit in Person

Whitby Village does not accept cash or debit in the Residence office.

If an online payment option does not work for you, you can go to the Oshawa Campus Residence buildings to make a payment.

Move-in / Move-out

The official move-in date(s) for Residence are as follows:

Academic Year 2022-2023
Move-In Day: September 3-4, 2022

 

Early move-in and late move-out is not available at Whitby Village.

Living in Residence

Whitby Village has onsite laundry, two common kitchen spaces, and two common lounge space with televisions.

Cable and telephone services are not available. Televisions and telephones will not be provided.

Each room has both wired and wireless internet.

Students will be able to use the Whitby Village wifi by connecting to the network using the following network details:

Network Name: Whitby Village

Password: Durham1614

If you have any concerns about your internet, an outage, speed, connection, service concern etc., you can contact Radius One support to resolve: help@campuswifi.ca or (289) 278-1168.

Please note: While on campus you will need to connect to the Campus Air network, using your student ID as your password.

Whitby Village has one resident advisor. You will meet your residence advisor on move in day. If you move in after move in day, you will be able to meet your RA during weekly programming. The resident advisor contact information is also located on the white board outside of the residence office on second floor.

The residence office will be open:

Monday -8am-4pm

Tuesday- 8am-4pm

Wednesday- 8am- 4pm

Thursday- 8am-4pm

Friday- 8am-4pm

Saturday- Closed

Sunday- Closed

If there are changes to the above hours they will be posted on the white board outside of the residence office.

After hours, you can call 905-728-8700 ext. 8000 to reach the front desk at South Village on the Oshawa Campus and they can help answer any questions or connect you to a manager.

In an emergency situation, you can also contact security at 905-721-2000 ext. 4098

During business hours you can call Whitby Village at 289-985-5050.

In the meantime, please stop by the residence office located on the 2nd floor of Whitby Village and meet the Residence Manager who can help to answer any questions you may have.

Pending the urgency of the concern you can do one of the following:

  • Contact your resident advisor – contact information is posted on the white board outside of the residence office.
  • Contact security at the Whitby Campus – 905-721-2000 ex. 4098.
  • Contact 905-728-8700 ext. 8000 to reach the front desk at South Village on the Oshawa Campus and they can help answer any questions or connect you to a manager.
  • Call 911.

Yes there is! The Residence offers monthly light housekeeping services to our residents. This means that once a month a housekeeper will come to your suite and clean your bathroom and kitchen areas and mop the floors. Housekeeping staff are unable to touch your personal belongings and therefore to allow for a full cleaning to occur to these areas you must make sure your counters, table tops, floors and shower areas are clear of any items. Please be aware that our housekeeping staff will not enter your bedrooms and therefore the bedrooms are the student’s responsibility to clean. The Residence has vacuums available at the front desk for your use.

Note: If you are living in a three bedroom suite and have a bathroom within your bedroom, the housekeeper will enter the bedroom to clean the bathroom space only.

If something breaks in your suite, you can come fill out a maintenance request by logging into your housing portal and clicking on the maintenance request tab. You can also report this to the residence office during their operating hours. By filing a maintenance request, this authorizes our maintenance staff to enter you room between the hours of 8:00 AM to 4:00 PM to repair the damages you have requested. This request may take a few days to get to so we ask you be patient. If it is an emergency we ask that you alert our staff to the situation. Please note that any damage to the suite that has occurred at the fault of the resident will be billable.

Students will be responsible for purchasing a parking pass through the Oshawa Campus parking office specifying they are residents at the Whitby Village Residence. Please purchase the pass here.

Residents will park in the campus parking lot opposite to the residence parking lot as spaces are very limited and will be reserved as visitor parking only.

Termination & Cancellation

Cancellations

Cancellations occur prior to move-in. If you wish to cancel your residence application, you must cancel through My Housing Portal prior to move-in.

Withdrawals

Withdrawals occur after move-in. If you wish to withdraw from residence, please contact the front desk for a Residence Withdrawal Form. You must return it to the front desk within 5 business days of the anticipated departure date.

Cancellations will not be accepted over the phone. The Residence operates independently from the Institution and if you cancel your application or enrollment at the Institution, you will also need to cancel your Residence application. Refunds will be issued by the Manager as detailed in section 8.06 of the Student Residence Agreement.

Other

You are welcome to visit the residence, but Whitby Village may not have a tour room available at the time. Tours will need to be set up with the residence office and will be scheduled pending our occupancy. Please contact Nicole at nmacgregor@dc-otresidence.ca to inquire about tours.

Whitby Village Residence is reserved for Durham College students attending classes at the Whitby Campus.
